Who we are

Travelling Pets is a mobile veterinary service issuing Animal Health Certificates for pets travelling from Great Britain to the EU. We visit customers at home across South West London (Richmond, Kew, Barnes, Mortlake, East Sheen, Twickenham, St Margarets, Teddington, Putney, Chiswick, Kingston, Wimbledon).

Travelling Pets is the data controller for the information described here — we decide what is collected and why.

What we collect, and why

To take a booking: your email address, postcode, travel date and chosen appointment, the number of pets, and whether they are rabies vaccinated. We need these to know whether we can reach you, to hold your slot, and to price the visit.

To issue the certificate:your name, full address and phone number, your travel plans (destination country, port, means of travel), and each pet’s details — name, species, breed, sex, colour, date of birth, microchip number and implant date, rabies vaccination dates, vaccine name and batch, and any booster. This is the information the Animal Health Certificate itself requires; without it the document cannot lawfully be issued.

Vaccination records: the photograph or PDF of the vaccination card you upload.

Correspondence: emails you send us and we send you, kept against your record so we can see the history of a booking.

Payments: the amount, status and reference of your payment. We never see or store your card number — that goes directly to Stripe.

If you ask us to email your trip dates: your email address, the dates you gave the trip date planner (when you cross to the EU, when you come back, and when your pet was vaccinated against rabies), and your postcode if you gave one. The postcode is used only to work out whether your address is one we can visit. The planner itself works entirely in your browser — nothing is sent to us unless you ask for the email.

This list is open to anyone, anywhere.The planner is useful wherever you live, so most people on it are nowhere near the areas we visit and will never be customers. We hold their details on the same terms as everyone else’s, and they can be removed at any time from the link at the foot of every email we send.

Why we are allowed to hold it

Most of it is necessary to perform our contractwith you — we cannot certify a pet without the pet’s details. Certificate records are also kept to meet our legal and professional obligations as a veterinary practice. Analytics and advertising measurement rely on your consent, and you can withdraw it through your browser settings at any time.

Trip date reminders and any marketing email rely on your consent, given by ticking the box on the planner. They are two separate ticks, because agreeing to a deadline reminder is not agreeing to be marketed to. We record the exact wording you agreed to and when, so that what you consented to can be checked later rather than assumed. You can withdraw either at any time, through the unsubscribe link in any email or by emailing us.

Who else processes it

We use a small number of suppliers. They act on our instructions and may not use your data for their own purposes.

  • Supabase — the database and file storage holding your booking, pet records and uploaded vaccination cards. Hosted in London.
  • Vercel — hosts the website itself.
  • Stripe — takes card payments. Stripe handles your card details directly; we receive only the outcome and a reference.
  • Resend — sends our emails to you.
  • Spacemail (Spaceship) — hosts our mailbox, so anything you email us is stored there as well.
  • Google — Analytics and Ads measurement, and the calendar the vet works from, which holds your appointment and address.

Uploaded vaccination cards

Vaccination cards you upload are held in private storage. There is no public link to them. When our vet needs to read one, the system issues a link that works for five minutes and then stops working — so nothing copied out of our admin remains usable afterwards.

Only our vet can open these documents. They are not shared with anyone else, and they are not searchable or indexed.

How long we keep it

We keep records relating to a certificate — the booking, the pet details and the vaccination card — for seven years. That matches the period a veterinary practice is expected to keep clinical records, and covers the accounting and tax retention we are also required to meet.

Correspondence is kept while it is useful for your bookings. Waiting list entries are deleted once the trip they relate to has passed.

Trip planner entries are kept until you unsubscribe. Once you do, we stop emailing you immediately and keep only the record that you were subscribed and then withdrew — which is what lets us show we had your consent while we were using it, and that we stopped when you asked.

Your rights

You can ask us for a copy of your data, ask us to correct it, ask us to delete it, or object to how we use it. Email hello@travellingpets.co.uk and we will respond within one month.

Some records we may not be able to delete on request, where keeping them is a professional or legal requirement. We will say so if that applies.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk.

Cookies

We set a cookie to keep you signed in to your bookings, and one for staff signing in to the admin area. Neither is used for advertising. Google Analytics and Google Ads set their own cookies to measure visits and whether an advert led to a booking; you can block these in your browser without affecting your ability to book.
